What is TimeMappr?

What does TimeMappr do?

TimeMappr is a visual workforce scheduling and time zone overlap tool. It shows a 24-hour timeline of when each of your team members is available — in their own local time zone — so you can instantly see shift coverage, plan meetings, coordinate handovers, and spot gaps without doing time zone math by hand.

Who is TimeMappr for?

Is TimeMappr free?

TimeMappr has a Free plan and a Pro plan. The Free plan is always free and includes 1 team with up to 15 members, the Pulse Dashboard, and manual scheduling. The Pro plan ($5.99/mo or $59/yr) adds up to 5 teams with up to 25 members each, Calendar Sync, Holiday Awareness, and Team Sharing & Roles.

Is TimeMappr invite-only?

Yes, during early access TimeMappr is invite-only. You need an invite code to create an account. If you don't have one, email us at support@timemappr.com to request access.

How much does Pro cost?

Pro is $5.99/month (billed monthly) or $59/year (billed annually, saving ~18%). Both options are available at checkout.

How do I upgrade to Pro?

Click "Upgrade to Pro" in Settings or visit the pricing section on the homepage. You'll be taken to a secure Stripe checkout page. After payment, your Pro features are unlocked immediately.

Can I cancel my Pro subscription?

Yes, you can cancel at any time from Settings → Subscription. After cancellation, your Pro access continues until the end of the current billing period. No partial refunds are issued.

What happens to my data if I cancel Pro?

Your data is preserved. If you have more than 1 team or more than 15 members on a team, you can still view your existing data, but you won't be able to create additional teams or members beyond the Free tier limits until you re-subscribe.

Can I switch between monthly and yearly billing?

Yes. Open Settings (⚙) → Subscription and click the switch button to move between monthly ($5.99/mo) and yearly ($59/yr). Switching to yearly saves ~18%. The change takes effect at the start of your next billing cycle.

I have a promo or invite code for Pro access. How do I redeem it?

Open Settings (⚙) → Calendar Sync and scroll to the Redeem Invite Code section at the bottom. Enter your code and click Redeem. Your account upgrades to Pro immediately. No payment required.

Getting Started

How do I create an account?

Click "Sign Up Free" in the header and enter your invite code. You can then register with an email and password, or sign in instantly with your Google or Microsoft account.

Can I sign in with Google or Microsoft?

Yes. Both Google and Microsoft (including Outlook / Microsoft 365) accounts are supported for sign-in. You can also link both to the same TimeMappr account in Settings > Connected Accounts.

How do I set my own time zone and working hours?

Open the gear icon (⚙) in the top right to reach My Settings. Choose your IANA time zone from the dropdown, then set your schedule: either the same hours every workday, or custom hours per day. Your "My Hours" row on the dashboard reflects these settings.

The Pulse Dashboard

What is the Pulse Dashboard?

The main view of TimeMappr. It shows a 24-hour timeline for the selected day of the week, with one row per team member. Each colored bar represents that person's working hours in their local time zone, normalised to a common UTC reference so everyone's hours line up on the same axis. Use the view switcher (▤ ◎ ▬ ⊞ ▥) to change how the data is displayed.

How do I switch between days of the week?

Use the Mon-Sun day tabs at the top of the dashboard. Each tab shows the calendar date when viewing a week other than the current one. Use the arrows to navigate weeks, and the Today button to return to the current week.

What does the 'My Hours' row show?

Your personal availability row, always pinned at the top. If you have hours set for the selected day, it shows a solid green bar. If you haven't set hours for that day yet, it shows a dashed ghost bar pre-filled from the nearest workday. You can drag the bar or use the time editor to adjust your hours and save them directly from the dashboard.

Can I edit my hours directly on the timeline?

Yes. Drag the left or right edge of your My Hours bar to change start or end time, or drag the center to shift the whole block. You can also click the time labels in the editor overlay to use the native time picker. Changes are saved when you click Save.

Can I reorder the team member rows?

Yes. Drag any member row by the handle on the left to reorder. The order is remembered per team.

What is the 12h / 24h toggle?

The button in the controls bar switches all time displays (bar labels, My Hours editor, team member rows, and My Settings time pickers) between 12-hour AM/PM and 24-hour format. Your preference is saved in your browser.

What are the colored bars at the bottom of the page?

Those are live time zone clocks, one card per unique time zone in your team. They show the full time zone label, the current local time, and a day indicator if the member's date differs from yours.

Visualization Views

What are the different visualization views?

TimeMappr has 5 views. Switch between them using the icon buttons in the top-right of the dashboard. Your choice is saved automatically per browser. All 5 are available on both Free and Pro — Pro adds holiday overlays and calendar busy-blocks within each view.

  • Linear Timeline (▤) — the default; one horizontal row per member, best for hour-by-hour comparisons
  • Radial Global Dial (◎) — 24-hour circular clock diagram with concentric member arcs
  • Compressed View (▬) — single overlap histogram collapsing all rows into one band
  • Cross-Availability Matrix (⊞) — pairwise shared-hours grid for every pair of team members
  • Vertical Time Stream (▥) — hours run top-to-bottom, members as columns (mirrors Google Calendar / Outlook)

What is the Linear Timeline?

The default view. One horizontal 24-hour row per team member, shown side by side. Best for fine hour-by-hour comparisons — you can see each person's exact shift start and end, spot gaps between shifts, and edit your own hours by dragging the bar handles directly on the timeline.

What is the Radial Global Dial?

A circular 24-hour diagram where each team member occupies a concentric ring. Your local midnight (12 AM) sits at the 12 o'clock position. Each member's working hours appear as a coloured arc on their ring, creating an intuitive 'time-pie' overview of the whole team's day. A gold needle marks the current time. Best for high-impact macro summaries — show the whole team's global coverage to a stakeholder at a glance without scrolling through rows.

What is the Compressed View?

A single histogram that collapses all individual rows into one band. Each vertical bar represents a 15-minute time slot; its colour shows how many team members are available at that time:

  • Emerald / dark green — 50% or more of your team is on shift
  • Blue — partial overlap (some members on shift)
  • Dark / empty — no team members on shift at that slot

Best for instantly identifying the peak coverage window of the day or spotting gaps where no one is on shift. Particularly useful for restaurant managers checking dinner-rush staffing, healthcare schedulers confirming 24/7 ward coverage, and retail managers spotting pre-opening gaps.

What is the Cross-Availability Matrix?

An N×N grid showing how many shared working hours each pair of team members has. Cells are colour-coded from grey (no overlap) through green shades to deep indigo (6+ hours shared). Click any cell to see the exact shared time windows. Best for planning 1-on-1 meetings, identifying which staff members can cover for each other, or spotting silos where two people's shifts barely intersect.

What is the Vertical Time Stream?

The timeline rotated 90° — hours run top-to-bottom and each team member is a column, identical in layout to a standard daily calendar (Google Calendar or Outlook). Best for teams who spend their day in calendar tools and find vertical time more natural, or for comparing coverage across many members side by side without horizontal scrolling.

Are any visualization views Pro-only?

No. All 5 views are available on both Free and Pro. What differs on Pro is the data shown within them: Pro users see calendar busy-block overlays (real meeting conflicts from Google Calendar or Outlook) and public holiday bands across all views. Free users see manually-entered working hours only.

How do I change my default view?

Open Settings (⚙) → Visual Models and select your preferred view. Alternatively, just click the view icon buttons in the dashboard — your last selected view is saved automatically to your browser and restored on next visit.

Calendar Sync

What is Calendar Sync? Pro

Calendar Sync is a Pro feature. It lets you connect your Google Calendar or Microsoft Outlook calendar to TimeMappr. Once connected, your busy blocks (events marked as Busy) appear as a red overlay on your My Hours row. They are visible only to you, not your teammates.

How do I connect my calendar? Pro

Upgrade to Pro, then open Settings (⚙) > Calendar Sync and click Connect Google Calendar or Connect Outlook Calendar. You'll be redirected to Google or Microsoft to authorise read-only calendar access, then returned to the dashboard.

What data does TimeMappr read from my calendar?

Only event start time, end time, subject, and show-as status (Busy/Free/Tentative). Events marked as Free are ignored. TimeMappr requests read-only access and never modifies your calendar.

Can my teammates see my calendar events?

No. Busy blocks are visible only to the signed-in account owner. Your teammates see your working hours bar but never your calendar event details.

Can I connect both Google Calendar and Outlook at the same time?

Yes. Both can be connected simultaneously. Busy blocks from both calendars are merged and displayed on your My Hours row.

How do I disconnect a calendar?

Open Settings (⚙) > Calendar Sync and click Disconnect next to the connected calendar. Your stored tokens are immediately deleted from our servers.

Why don't I see events from a shared or secondary calendar?

Microsoft Graph's calendarView only returns events from your primary calendar. Events from calendars shared with you, room mailboxes, or secondary Outlook calendars are not currently shown. Google Calendar works the same way: only your primary calendar events are fetched.

Teams

How do I create a team?

Click the "+ New Team" button. Give your team a name and emoji, then add members, each with a display name, time zone, and working hours schedule (same every workday or custom per day).

How many teams and members can I have?

On the Free plan: 1 team with up to 15 members. On the Pro plan: up to 5 teams with up to 25 members each.

Can members have different schedules on different days?

Yes. In the team editor (Edit), each member has a "Same every workday" or "Custom per day" toggle. Custom mode lets you set individual hours for each day and mark days Off.

How do I share a team with a colleague? Pro

Team Sharing is a Pro feature. Click the "Share" button and enter your colleague's email address, then choose a role: Admin (full control), Editor (can edit member hours), or Viewer (read-only). They'll receive an email invitation with a link valid for 7 days.

What are the team roles?

  • Owner: Full control. Can edit, delete, and manage all collaborators.
  • Admin: Same as owner except cannot transfer ownership.
  • Editor: Can edit member hours and drag bars on the dashboard.
  • Viewer: Read-only. Cannot make any changes.

Can I change a collaborator's role after inviting them?

Yes. Open Share > Collaborators and use the role dropdown next to any collaborator. You can also remove them entirely.

What happens when a team is deleted?

The team and all its member data are permanently removed. Collaborators lose access immediately. This action cannot be undone. A confirmation email is sent to the owner.

What happens if I downgrade from Pro to Free and have more than 1 team?

Your existing teams and member data are preserved. You can still view all your teams. However, you won't be able to create new teams beyond the Free limit of 1, or add members beyond 15 per team, until you re-subscribe to Pro.

Industry Use Cases

Restaurant & Hospitality: How do I use TimeMappr to see if I have enough staff for the dinner rush?

The Compressed View (▬) is ideal for this. It collapses your entire team into a single histogram of 15-minute coverage windows. Dark green bars show when 50%+ of your team is on shift, so you can instantly see whether your evening service window is fully staffed or thin. Add each staff member with their shift hours, then switch to Compressed View to verify coverage across the full day. If you manage multiple sites, create one team per location and switch between them using the team selector.

Restaurant & Hospitality: My staff work split shifts — morning prep and then evening service. Can I model two separate windows?

TimeMappr currently supports one continuous working window per person per day. For split-shift workers (e.g., 9 AM–12 PM and then 5 PM–10 PM), set the hours to span the full period (9 AM–10 PM) or choose the primary shift. Split-shift support with two separate blocks per day is on the product roadmap.

Restaurant & Hospitality: Can my floor supervisor see the rota without being able to edit it?

Yes (Pro). Use Team Sharing to invite them with the Viewer role. They can open the full dashboard and switch between all 5 visualization views but cannot make any changes to the schedule.

Retail: I manage 3 store locations with different shift patterns. Can I track them all?

Yes (Pro). Create one team per location — up to 5 teams on Pro, each with up to 25 members. Use the team selector at the top of the dashboard to switch between stores instantly. Each store's schedule is fully independent.

Retail: I have 20 part-time staff with different hours every day. Is there a fast way to load all their schedules?

Yes (Pro). Use CSV Bulk Import (Settings ⚙ → Import). Download the template, fill in team_name, member_name, timezone, work_start, work_end for each person, then upload. For members with variable daily hours, use the Custom per day schedule mode to set individual hours for each day of the week after import.

Retail: How do I spot a time slot where no one is covering the floor?

Use the Compressed View (▬). Zero-coverage slots appear as empty or very dark bars in the histogram. You'll immediately see any gap in floor coverage so you can adjust shifts or call someone in before opening.

Healthcare: How do I check we have 24/7 nursing coverage with no gaps?

The Compressed View shows a full 24-hour histogram of your ward's staffing. Any hour where coverage drops to zero appears as an empty segment — immediately visible without scanning individual rows. For night shifts, TimeMappr supports overnight hours: set work_start to 22:00 and work_end to 06:00 and the bar wraps correctly into the following day.

Healthcare: Can I enter night shifts that cross midnight — for example 10 PM to 6 AM?

Yes. Set the start time to 22:00 and end time to 06:00 in the member's schedule. TimeMappr handles overnight bars correctly, spanning into the following day's display.

Healthcare: How do I identify the best shift-handover window between two nurses?

The Cross-Availability Matrix (⊞) shows the exact shared hours between every pair of team members. Click the cell for any two nurses to see their specific shared time windows — exactly what you need to plan a safe handover briefing.

Healthcare: Can I track on-call physicians alongside regular shift nurses in the same view?

Yes. Add all clinical staff — nurses, physicians, allied health — as members of the same team and use the Linear Timeline to see all roles on one axis. If you need to separate clinical categories, create one team per ward or role and switch between them.

Emergency Services: I coordinate firefighter rotations across 3 stations. Can I see coverage across all of them?

Yes (Pro). Create one team per station. Use the Compressed View within each team to confirm no coverage gaps across the 24-hour rotation. Switch between stations using the team selector. For cross-station aggregate visibility, create a combined team with members from all 3 stations.

Emergency Services: How do I make sure minimum safe response capacity is maintained at every hour?

The Compressed View (▬) makes this immediately visible. Every 15-minute slot shows how many team members are on duty. Slots below your minimum threshold appear in blue (partial) or dark/empty — you can see at a glance where you need to add cover before publishing the rota.

Remote Teams: I run daily standups with engineers in London, New York, and Singapore. What's the fastest way to find a time that works?

Use the Compressed View (▬) — it shows the single window during which the most team members overlap. Dark green bars indicate your best standup slots. For a more granular breakdown, switch to the Linear Timeline to see each member's exact hours side by side and drag your own bar into the overlap window.

Remote Teams: Some of my teammates are a day ahead because of the International Date Line. Does TimeMappr handle this?

Yes. The day tabs at the top of the dashboard show each member's local date, and the time zone clocks at the bottom display a day-offset indicator (e.g., '+1') when a member's local date differs from yours. The Radial Global Dial also helps visualise this — members who are a calendar day ahead simply have their arc positioned accordingly on the 24-hour ring.

CSV Import

What is CSV Bulk Import? Pro

CSV Bulk Import is a Pro feature that lets you upload a spreadsheet to create or update multiple teams and members at once. It's the fastest way to onboard a large team, with no need to add each person manually.

What format does the CSV file need to be in?

The CSV must have five columns in this exact order: team_name, member_name, timezone, work_start, work_end. The first row must be the header. Time zone must be a valid IANA time zone (e.g., America/New_York). Times must be in HH:MM format (e.g., 09:00, 17:30). You can download a pre-filled template from Settings (⚙) → Import.

What happens if a team name in my CSV matches a team I already own?

Members from that CSV group are added to your existing team rather than creating a duplicate. The import preview labels those rows as 'Adds to existing' so you can review before confirming.

Where do I access CSV Import?

Open Settings (⚙) → Import. From there you can download the template, upload your CSV, review the parsed preview, and confirm the import.

Holidays

What are the holiday overlays? Pro

Holiday Awareness is a Pro feature. Amber-tinted bands appear on member rows indicating a public holiday in that member's country (derived from their IANA time zone). The holiday name appears on hover, and a beach emoji appears on day tabs where at least one member has a holiday.

Where does the holiday data come from?

Public holiday data is fetched from the Nager.Date API, a free open-source holiday database covering most countries.

Audit Log

What is the Activity tab in Settings?

A paginated audit log of all changes made to teams you own or administer: member additions/removals, hour changes, team renames, collaborator invitations, role changes, and deletions. Entries are retained for 90 days.

Who can see the audit log?

Team owners and admins only. Editors and viewers do not have access.

Account & Security

How do I change my password?

Open Settings (⚙) > Change Password. Enter your current password and a new one meeting the requirements (15+ characters, upper, lower, number, special character). A confirmation email is sent after a successful change.

I forgot my password. How do I reset it?

On the Login screen, click "Forgot password?" and enter your email address. Firebase will send a reset link to your inbox.

How is my calendar data protected?

OAuth refresh tokens are encrypted at rest using Google Cloud KMS before being stored in Firestore. They are never exposed to the browser or to other users. All API calls use HTTPS.

Is my payment information stored by TimeMappr?

No. All payment processing is handled by Stripe, a certified PCI-compliant payment processor. TimeMappr never stores your full card number or CVV; we only receive a Stripe customer ID and your subscription status.

Can I use both Google and Microsoft to sign in to the same account?

Yes. In Settings > Connected Accounts, link both providers to the same account. You can then sign in with either.

How do I sign out?

Open Settings (⚙) → Account and click Sign Out at the bottom of the page.

How do I report a bug?

Open Settings (⚙) → Report a Bug. Describe what happened and optionally attach a screenshot (jpg, jpeg, png, bmp, max 4 MB). We review every report. You can also email support@timemappr.com.

Appearance

Does TimeMappr support dark mode?

Yes. Use the moon/sun icon in the top right to toggle. Your preference is saved to your account and synced across devices when you're signed in.

Can I make the text larger or smaller?

Yes. Open Settings (⚙) → Visual Models and use the Text Size panel at the top. Choose between:

  • Compact — smaller text, fits more content on screen
  • Standard — the default size
  • Accessible — larger text for improved readability

Your preference is saved in your browser and applies immediately across the entire dashboard.

Email Notifications

What emails will I receive from TimeMappr?

  • Welcome: sent when you create your account.
  • Team invitation: sent when someone invites you to join their team.
  • Team deleted: sent when you delete one of your teams.
  • Calendar connected/disconnected: sent when Google Calendar or Outlook is connected or disconnected.
  • Password changed: sent after a successful password update.
  • Social account linked: sent when a Google or Microsoft account is linked to your TimeMappr account.
  • Subscription confirmed: sent when you subscribe to Pro.
  • Subscription cancelled: sent when you cancel your Pro subscription.
